Major Details Types various material for the Executive Director.
Prepares and maintains a variety of confidential records; types, files, and documents materials.
Provides support for Board meetings and agency special events.
Scans and copies materials for Executive Director.
Makes purchases as directed.
Receives and sends faxes.
Meets with Executive Director as needed.
Ensures all required documents are completed in a timely manner.
Answers calls and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.
Prepares and maintains a variety of confidential records; types and files materials and documents efficiently and effectively.
Enters and maintains attendance roster for CACFP/USDA billing.
Completes quarterly DOT logs and spreadsheets for each of the agency's DOT vehicles.
Assists in Finance and Human Resources Departments as needed.
Orders and disperses office supplies; ensures proper purchase order and/or invoice is attached for appropriate billing.
Receives and receipts cash and checks for individuals, staff, and day-to-day operations.
Maintains fire, weather, and intruder drill records.
Maintains calendar for agency meeting rooms.
Assists in the cafeteria as needed.
Runs errands as needed.
Monitors VBC security cameras.
Makes announcements using the agency's intercom system.
Receives, sorts, stamps, and distributes incoming mail daily; maintains confidentiality.
Performs other duties and responsibilities deemed necessary; not otherwise specified.

Supervisory Controls The Executive Director supervises and assigns work in terms of general instructions.
The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
Guidelines Guidelines include agency policies, Alabama Department of Mental Health (DMH) guidelines and Medicaid guidelines.
These guidelines are generally clear and specific but may require some interpretation in application.
Complexity/Scope of Work The work consists of related secretarial and customer service duties.
Frequent interruptions contribute to the complexity of the position.
The purpose of this position is to provide administrative support to the Executive Director and to provide secretarial and customer support for assigned agency operations.
Successful performance contributes to the efficiency and effectiveness of those operations.
Contact Contacts are typically with co-workers, other agency employees, vendors, and members of the general public.
Contacts are typically to give or exchange information, resolve problems, and provide services.

Minimum Qualifications Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
Possession of a valid driver's license and good driving record.

Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
