4 Full-time 5 days ago Full Job Description JOB This position performs specialized and highly confidential administrative functions under the direction of the Chief of Police or his designee for the Dothan Police Department, Police Academy.
The incumbent is required to be efficient, organized and must be familiar with all phases of police progression throughout the hiring and training process.
The duties of this position are of such a nature that the employee often works on a large volume of projects covering a wide variety of subjects.
EXAMPLE OF DUTIES Receives and processes applications for police academy admittance.
Maintains working relationships with both state and national law enforcement agencies.
Composes correspondence (letters, memorandums, etc.
) using Microsoft Office; composes and completes forms, reports, and any/all other electronic documents, while following manuals, guidelines, directives, policies, and/or instructions from supervisors to provide documentation and services.
Utilizes/operates NCIC computer terminal to obtain criminal history records, driver history, and other relevant background information on applicants.
Such inquiries are conducted in accordance with any/all established rules, guidelines, and/or statues regulating such use.
Information yielded from inquires is properly safeguarded; only being disseminated in the manner allowed and authorized.
Maintains calendars, format emails, etc.
using Microsoft Outlook.
Opens and distributes mail, routes/delivers to the proper office and/or persons.
Maintains documents and other work-related materials following policy and procedure, to ensure they are maintained in a manner which provides efficient retrieval and retention.
Communicates (verbally, written, electronically, etc.
) with supervisors, co-workers, representatives, and the public.
Completes background information requests.
Verifies grades as noted on academy grade sheets.
Verifies attendance records.
Reviews teaching schedules.
Removes failing and/or withdrawing applicants from academy.
Schedules and organizes academy class graduation ceremonies.
Certifies students who successfully complete the academy.
Issues Law Enforcement Officer certificates.
Submits documents to the State providing all mandatory items to the state.
Reports to the Bureau Commander and handles tasks delegated by the Bureau Commander and/or the State Director of the academy.
Answers telephone, interviews, greets, and screens visitors; provides information and assistance; receives complaints, inquiries, and requests; transfers to appropriate personnel.
Performs specialized research and statistical work on assigned projects for the command staff.
Maintains files and records in an organized and accessible fashion.
Coordinates and schedules appointments and maintains calendars for the Academy Cadre.
Performs related duties.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION Knowledge of Alabama Peace Officer Standards and Training Commission (APOSTC), policies, and regulations.
Knowledge of modern office administration, practices, and procedures.
Knowledge of city and departmental policies and procedures.
Knowledge of computers and job-related software programs.
Knowledge of file management principles.
Knowledge of standard business arithmetic, including percentages and decimals.
Skill in prioritizing and organizing work.
Skill in managing responsibility in a high-volume atmosphere.
Skill in the maintenance of files and records.
Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.

SUPERVISORY CONTROLS The Chief of Police, or his designee, assigns work in terms of general instructions.
The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES Guidelines include APOSTC policies and procedures, city ordinances, CALEA guidelines, and city and department policies and procedures.
These guidelines are generally clear and specific but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK The work consists of related administrative duties.
The need for accuracy combined with strict deadlines contribute to the complexity of the position.
The purpose of this position is to coordinate the administrative functions of an Alabama Peace Officer Standards and Training Commission state certified Police Academy, managed by the Dothan Police Department.
CONTACTS Contacts are typically with APOST, applicants/candidates, coworkers, other city personnel, vendors, representatives of other law enforcement agencies, elected and appointed officials, and members of the public.
Contacts are typically to exchange information, resolve problems, and provide services.
PHYSICAL DEMANDS/ WORK ENVIRONMENT The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping.
The employee occasionally lifts light objects.
The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY None.
MINIMUM QUALIFICATIONS Graduation from a standard senior-high school or GED equivalent, as recognized by the United States Department of Education (USDE) or Council for Higher Education Accreditation (CHEA); and Four (4) years recent progressively responsible related experience in a Public Safety environment; and Two (2) years recent experience in the use of the Microsoft Suite (Word, Outlook, Excel, and PowerPoint).
One (1) year recent experience working with APOSTC or an Alabama Police Academy preferred.
Possession of current/valid National Decertification Index (NDI) certification preferred.
Possession of current/valid National Crime Information Center (NCIC) certification preferred.
CONDITION OF EMPLOYMENT The City of Dothan's Police Department will administer a polygraph examination to anyone hired/promoted/transferred into the Police Department.
The examination will be a question and answer test that covers areas of your background, including but not limited to your employment application, employment history, and involvement in criminal activity, such as thefts and domestic violence, drug usage and participation in the distribution of illegal and legal prescription medications.
NECESSARY SPECIAL REQUIREMENTS Employee may be required to be bondable.
An applicant for this position is subject to various background investigations up to and including a criminal, credit, past employment, and reference checks.
Employees are required to submit to Drug and Alcohol testing in accordance with the City of Dothan policy, which includes pre-employment and random tests for the duration of employment in this position.
(PBA 8/13/12) Must meet the City of Dothan's employment physical standard, which includes drug/alcohol testing.
